Job Description

The Department of Psychiatry and Behavioral Medicine seeks an Administrative Support Supervisor to provide supervision of the daily operational functions for the Patient Access staff at the Psychiatric Outpatient Clinic. The position provides oversight of reception, pre-registration and registration, patient appointment scheduling, outpatient charge entry, managed care enrollments and authorizations, cashiering and collections, physician referrals, medical records, and patient satisfaction. The position also performs or refers patients for appropriate financial counseling.

The Administrative Support Supervisor serves as a mentor for the Patient Access staff, monitoring quality of performance, identifying staff training needs, addressing personnel issues, and providing resolution of day-to-day clinic issues. Along with the Patient Access Manager and department administration, this individual will be responsible for selection, training, work plan development, and performance reviews for all Patient Access staff. The successful candidate must possess strong technical skills with the ability to train others, communicate objectives clearly and concisely, facilitate team work, and effectively mediate and facilitate changes when appropriate. The position interfaces with the Outpatient Clinic Director, and department administration to address clinic operational issues and/or initiate quality improvements.

The Administrative Support Supervisor also serves as a resource to physicians and other clinical staff. The selected candidate will compile statistical data to create and present oral presentations that are supported by prepared documentation, text, spreadsheets, tables and reports. The ability to analyze data on a daily, weekly, monthly, and yearly basis is necessary, including analysis of encounter forms to alleviate coding errors, as well as education of physicians regarding these errors. The position is responsible for trending data in order to predict and effectively prepare for potential growth.

The individual should be able to interact effectively and professionally with department administration, clinical staff, providers, patients, and front desk staff so that problems are resolved quickly and effectively.

Normal work schedule is Monday-Friday, 8:00 a.m. - 5:00 p.m., although a flexible schedule is necessary to accommodate extended or after-hours clinics, or to attend meetings outside of normal business hours.

The ECU Brody School of Medicine is affiliated with Vidant Medical Center.  Vidant Medical Center is the flagship hospital for Vidant Health and serves as the teaching hospital for the Brody School of Medicine at East Carolina University. 

Minimum Qualifications

High School diploma or equivalency and two years of progressively responsible administrative/office management experience, including some experience as a lead worker; or equivalent combination of training and experience. 

Preferred Education and Experience

A Bachelor's degree with experience in a clinical setting is preferred, as well as previous supervisory or office management experience. The ideal candidate will also possess scheduling, billing, and managed care experience.

This position is subject to the Career Banding Salary Administration Plan. If candidates are not identified at the Journey level, management may consider candidates at a lower competency level. Pay will be commensurate with applicant's competencies as well as budget, equity, and market considerations.

Salary Grade Equivalent: 62 (for reduction-in-force priority purposes only)
