Executive Administrative Assistant

Forsite Development, Inc. is a Charlotte-based, growing, and highly-capitalized firm that started out acquiring and redeveloping industrial real estate, primarily in the Southeast. Forsite was founded by the CEO in 2004 to acquire and reposition vacant Industrial space in the Carolinas and has blossomed into a respected, nationwide developer working with industry giants in the heavy industrial, chemical, power, private equity and banking fields.
Forsite’s focus on acquiring heavy industrial real estate led to the development of their Environmental Liability Risk Transfer platform where they acquire title to sites with known legacy contamination and take over the remedial obligations of the seller as the Responsible Party. Forsite has transacted on six coal-fired power plants using this model. As Forsite has grown, redevelopment of brownfield power plant sites led to the development of Forsite Renewables, a solar project development company that was formed at the end of 2019 (forsiterenewables.com). Forsite currently has nine utility scale projects in development, totaling over 16,000 acres and 2,800 MW, exclusively focused on retiring power plant sites, with an additional three sites to be added in 2022.
Job Description: Below is a summary of expected areas of support and responsibilities for the Executive Administration Position:
Administrative Support:
- Schedule travel and manage calendars for the Executive Team
- Greet guests
- Answer and manage incoming calls
- Process incoming and outgoing mail
- Conduct research
- Organize and manage file system
- Generate Executive team expense reports and submit for approval
- Support and assist teams with various projects and administrative needs
- Run errands
- Other assignments as required to support both accounting and administrative functions
- Act as back-up to applicable staff when unavailable, absent and/or vacation
Document Support:
- Formatting and proofing Word files including leases, contracts, meeting minutes and agendas
- Formatting and proofing presentations
- Printing or binding presentations
Accounting Support:
Accounts Payable Duties:
- Responsible for supporting the accounts payable activities, performing tasks requiring quick resolution of issues
- Make calls to vendors to clarify any questionable invoice items or prices
- Facilitates the payment process by ensuring all required documentation is accompanied with the payment request
- Takes phone calls and responds to any questions from vendors as it relates to invoice payments
Accounts Receivable Duties:
- Ensuring that all customer / tenant invoices are generated and sent to the customer
- Post daily cash receipts and bank deposits
- Make collection calls to customers / tenants and solve collection problems
Job Qualifications:
- Associate Degree required and 3-5 years of work experience
- Impeccable organizational and time management skills. Must be precise, focused, and action-oriented
- Proven ability to multi-task with accuracy and meticulous attention to detail
- Strong ability to set priorities and procedures to accomplish assigned tasks
- Proficient with Microsoft Office Suite (Teams, Word, Outlook, Excel and PowerPoint)
- Handle sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company
- Ability to work effectively under pressure and time constraints
- Strong mathematical and analytical skills
- Ability to communicate effectively both orally and in writing
- Must be flexible with hours and scheduling
- Must be able to pass a background check
- Must possess Driver’s License and have a clean driving record
