Secretary - Customized Training Projects
Gaston College in Dallas, NC is currently accepting applications for, Secretary-Customized Training Projects/Business & Industry Training Services, P/T, Grant-Funded.
Summary:
Assist with the implementation and maintenance of classes and Customized Training Projects offered through Business and Industry Training Services. Provide secretarial/clerical support to the coordinator and part-time faculty. Assist with non-credit registrations and departmental reports, serve as receptionist, and assist with the preparation of course materials. Collaborate with other division and College personnel campus-wide to ensure implementation and operation of courses and programs.
Duties & Responsibilities:
Type and compose letters, memos, course documents, handouts, and flyers. Create and maintain computerized mailing lists for special mailings. Carry out special projects aimed at further automation of various office functions. Receive incoming phone calls for the directors and coordinators, serve as receptionist and provide general information to administration, staff, faculty, students, and public. Set up and maintain electronic and paper-based filing system for general information, company and course information, and instructor application files. Serve as liaison between part-time instructors and College for registration, obtaining supplies, books, forms, etc. Assist instructors with attendance, obtaining forms, teaching aids, audio-visual equipment, keys, and other items as necessary. Process paperwork for Customized Training Project classes including course contracts, student registration, instructional and course information. Register and assist students with completing appropriate forms when required. Maintain course and program scheduling. Notify campus security of schedule for room unlock and location. Collect and distribute various College and course forms including, but not limited to, contracts, evaluations, etc. Carry out special projects aimed at further improvement of division and departmental processes. Prepare requisitions for printing, deliver to print shop, and distribute materials. Requisition supplies and report needed equipment and repairs to appropriate departments. Perform other related duties incidental to the work herein described.
Minimum Education Qualifications:
High school diploma or GED with two years’ secretarial/clerical experience OR relevant associate degree required. Career Readiness Certificate (CRC) preferred.
Minimum Experience Qualifications:
Two years’ secretarial/clerical experience in a business or educational setting with extensive public contact preferred. Excellent interpersonal, written, and verbal communication skills required. Strong organization, customer service and telephone skills, and attention to detail required. Demonstrated ability to handle multiple tasks and process time-sensitive materials in a fast-paced environment required. Working knowledge of operating standard office equipment and related tools and technology required. Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint, etc.) required. Demonstrated clerical competencies through internal testing required.
Physical Requirements:
Generally works in a traditional climate-controlled office environment and requires the ability to sit for extended periods. Some walking, standing, and bending required, and the ability to lift and maneuver items weighing up to 20 pounds. Work environment can be stressful at times in dealing with a wide variety of challenges and deadlines.
