HR/Professional Development Administrative Assistant: Moore & Van Allen PLLC is a prominent business and litigation law firm with offices in the Carolinas. This full-time position, located in our Charlotte, NC office, provides administrative assistance and support to the Human Resources and Professional Development/Recruiting team. Responsibilities include: coordinating the 90-day and annual evaluation process for all non-exempt staff utilizing Vi-Desktop software; perform weekly data entry, reporting and maintenance of the time and attendance software to include time edits; assists with coordination of HR sponsored events; drafts internal communication pieces related to events and efforts led by the firm’s diversity and public service committees; provides assistance with planning of summer associate program (catering, securing facilities, travel arrangements, event assistance, schedule coordination, project submission, etc.), as well as the summer recruiting program (material prep, travel logistics, interview schedules); assists the Diversity and Community Initiatives Manager with firm events; assists with firm workplace giving campaigns; provides back-up with entering information in the HR information system database, UltiPro; posts open attorney positions to universities and manages annual job posting packages with Symplicity One/Stop; assists with set-up and file management for temporary Document Reviewers; other data base input and maintenance as needed. A High School Diploma or the equivalent is required, with at least 2 years of college preferred.
The successful candidate will have at least 5 years of administrative experience, preferably in the Human Resources or Recruiting area. Must have a high proficiency in MS Office Suite with the ability to learn specialized applications and the ability to organize and prioritize numerous tasks and complete them under time constraints. Candidates must also have interpersonal skills necessary to communicate in person, on the telephone and in writing; effectively follow instructions from a diverse group of administrators and provide information with courtesy and tact. This position may at times require more than 37.5 hours per week to accomplish essential duties. We provide a competitive salary and benefits package to the right individual.
